We Assist AS (WeAssist) is a company that performs various administrative and mercantile tasks for companies. The goal is to relieve key employees, free up time, streamline processes and contribute to increased profitability.

WeAssist will process personal data in connection with this business.

WeAssist has a role as a data processor when we perform services that involve the processing of personal data on behalf of your company or organization. Such processing will take place in accordance with the concluded data processing agreement.

WeAssist has the role of controller when we process data on the basis of our own purposes. Information about the personal data we process about you, the legal basis of the processing, the purpose of the processing, how long we process the personal data, etc. are included below.

All processing of personal data takes place in accordance with the applicable data protection rules at all times, including the Personal Data Act and the General Data Protection Regulation (GDPR).

“Personal data” means any information that can be linked to a natural person (the latter is referred to as “data subject”).

“Processing” means anything that is done with personal data, such as collection, registration, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or any other form of disclosure, compilation or pooling, restriction, deletion or destruction.

This privacy statement applies to the use of our services, including the website.

2. What personal data is processed

WeAssist is the controller for the processing of the following data about you:

  • Name and contact details

  • Information when you visit our websites, including the date and time of your visit to our websites, the type of mobile/PC you use to visit the website, the operating system and browser you use, and IP addresses.

By the way, WeAssist processes personal data as a data processor on your behalf when, pursuant to an agreement, we perform administrative tasks and other services for you as a business customer.

3. How does WeAssist access personal data?

We receive personal data directly from you when you:

  • Request access to one or more of our services.

  • Are in dialogue with our call center

We receive personal data indirectly from you when you use our websites.

4. What does WeAssist use personal data for?

WeAssist collects and uses personal data for different purposes depending on who you are and how we get in touch with you. We do not collect sensitive information unless special agreements are in place. Below we elaborate on the purposes of WeAssist's processing of personal data.

Inquiries by phone and email

WeAssist processes personal data when you contact us, both to respond to and document communications with you. This applies to all forms of communication, physical and digital, written and oral.

Improve services based on user behaviour analyses, user surveys and studies

WeAssist processes personal data to understand your needs and to improve and further develop the services. You will therefore be able to be asked, among other things, what you think about us and your experience in surveys. It is voluntary and you can unsubscribe at any time.

Manage payments, invoicing and similar obligations in accordance with the regulations, including the Bookkeeping Act

We process personal data to fulfill legal and statutory obligations, for example in connection with accounting reporting and disclosure of information to the authorities when this is required by law.

Security

WeAssist will be able to process personal data to ensure good security in all our services. We may also process personal data to detect or prevent various types of fraud and other abuse.

Promote your services via SMS or email

WeAssist may use both anonymised data and personal data for marketing purposes, in accordance with applicable law. These activities include marketing the Services, including to tailor the marketing to your needs and to send out newsletters. If you no longer wish to receive marketing from WeAssist, you can unsubscribe at any time.

Job Openings and Appointments

When recruiting for new positions with us, among other things, CV, application, testimonials, notes from interviews, results from surveys of references will be processed, which will contain personal data.

Other purposes you have consented to

WeAssist may process your personal data for any other purpose for which you have specifically consented to us.

5. Why are we allowed to process your personal data?

Under data protection legislation, WeAssist is obliged to base its processing of personal data on a lawful processing basis. Our processing of personal data is based on one or more of these bases:

  • The processing is necessary for purposes related to a legitimate interest which is conditioned on the fact that your interests or fundamental rights and freedoms do not take precedence and require the protection of your personal data.

  • You have given your consent to the processing of your personal data for one or more specific purposes.

  • The processing is necessary to fulfill an agreement with you.

  • The processing is necessary to fulfill a legal obligation to which we are subject.

6.Retention and storage (deletion) of personal data

We retain personal data for as long as it is necessary for the purpose for which the personal data was collected, and delete the data in accordance with the requirements of the regulations.

This means, for example, that personal data that we process on the basis of your consent will be deleted if you withdraw your consent. Personal data that we process as a result of a legal obligation will be deleted as soon as we are not obliged to keep the data.

7. Disclosure of personal data to others

We do not pass on your personal data to others unless there is a lawful basis for doing so. Examples of such grounds would typically be an agreement with you or a legal obligation requiring us to disclose the information.

8. Security of processing

All processing of personal data is ensured with the required technical and organizational measures.

We handle information so that it is correct, accessible and handled according to the degree of sensitivity of the information. We also employ a variety of security technologies and information security procedures to protect personal data from unauthorized access, use or disclosure. Risk assessments are carried out for the processing of personal data.

We have entered into data processing agreements with all of our suppliers who process personal data, where they assume at least the same level of security as we have for our processing of personal data.

We restrict access to personal data to those personnel or third parties who will process the data on our behalf. These parties are subject to a duty of confidentiality.

Procedures have been established for handling breaches of information security and procedures (privacy violations), and we will, if there is a breach that entails a risk to the privacy of the personal data concerned, send a notification of discrepancy to the Data Protection Authority as soon as possible and no later than within 72 hours after the breach was detected. If the breach is likely to affect the privacy of those affected by the breach, we will also notify them.

9.Your rights when we process personal data about you

Below are your rights for the processing of personal data. To exercise your rights, you must contact us at support@weassist.no.

We will respond to your inquiry to us as soon as possible and within one month at the latest. If it takes longer than a month, you will be notified.

We will ask you to verify your identity or to provide additional information before we allow you to exercise your rights with us. We do this to ensure that we are only giving access to your personal data to you, and not someone pretending to be you.

Information

You have the right to receive information about the personal data we process about you. Through this statement, we inform you about our processing of personal data. You can also contact us if you would like more information.

Insight

You have the right to request access to the personal data processed about you. Please contact us if you want insight.

Modification and deletion

You can also ask us to correct incorrect information we hold about you or ask us to delete personal data. We will, as far as possible, accommodate a request to delete personal data.

Processing on the basis of consent

We process personal data on the basis of your consent, so you can withdraw your consent at any time. The easiest way to do this is to use the way stated at the time you gave your consent or to contact us.

Right to restrict or object to processing

You have the right to have your processing restricted in certain circumstances, such as:

  • You dispute the accuracy of the personal data. The processing is stopped for a period that allows us to verify the accuracy of the personal data.

  • The processing is unlawful and you object to the erasure of the personal data and instead request that the use of the personal data be restricted.

  • We no longer need your personal data for the purpose of processing, but you need it to establish, enforce or defend legal claims.

We process personal data on the basis of your consent, so you can withdraw your consent at any time. The easiest way to do this is to use the manner indicated when you gave your consent or to contact us. You can also object to processing pending the verification of whether our legitimate interests take precedence over your privacy.

Right to data portability

For information that you have provided to us and is necessary for the performance of an agreement with us and which is processed automatically (i.e. not manually by us), you can request that the personal data about you be disclosed or transferred to another provider in a structured, commonly used and machine-readable format (data portability).

Automated processing, including profiling

There will be no automated processing, including profiling, based on your personal data that has legal effects or significantly affects those to whom the personal data relates.

10.Complaints

If you find that our processing of personal data does not comply with what we have described here or that we otherwise violate the data protection legislation, you can complain to the Danish Data Protection Authority.

11.Changes

If there is a change to our services or changes to the regulations regarding the processing of personal data, it may result in a change in the information provided here.
